    We collect: (a) booking data — pickup and drop-off addresses, journey date and time, passenger count, luggage details, flight numbers, and vehicle class; (b) quote request data — name, email, phone, company name, journey details, and any notes submitted via our Get a Quote page; (c) account data — name, email address, phone number, and password (hashed); (d) payment status — we record whether payment was completed but do not store card details (processed by Stripe); (e) support and case records — complaint submissions, lost property reports, and support correspondence; (f) operator and driver records — licensing documents, compliance certificates, and operational data held on behalf of licensed operators.

  3. Quote Requests and Marketing

    When you submit a quote request through our website we collect your name, email address, phone number (optional), company name (optional), and journey details. This information is used to: (a) prepare and send you a tailored price; (b) follow up on your enquiry by email or phone. If you tick the marketing consent box on the quote form, we may also send you information about promotions, new services, and relevant offers. You can withdraw marketing consent at any time by emailing info@regenttransfers.co.uk or clicking the unsubscribe link in any marketing email. Withdrawing consent does not affect the lawfulness of processing before withdrawal. We do not sell or pass your contact details to third-party marketers.

  4. Legal Basis for Processing

    We process personal data on the following legal bases under UK GDPR Article 6: (a) Contract — to process your booking and provide the journey you have requested; (b) Legitimate interests — to respond to quote requests and enquiries, improve our services, prevent fraud, maintain security logs, and resolve disputes; (c) Consent — where you have opted in to marketing communications (quote request form) or non-essential cookies; (d) Legal obligation — to maintain operator records required by our private hire licence and applicable regulations.

  5. How We Use Information

    Your data is used to: accept and manage booking requests; estimate and confirm fares; respond to quote requests and follow up with tailored pricing; dispatch drivers; send booking confirmations and journey updates; handle payment transactions via Stripe; send marketing messages where you have consented; respond to support, complaint, and lost property enquiries; maintain operator compliance records; and comply with licensing authority requirements.

  6. Data Sharing

    We share data only where necessary: (a) Licensed operators — booking and passenger details are shared with the operator responsible for your journey; (b) Stripe — payment processing (Stripe is our payment processor and processes card data under its own privacy policy); (c) Twilio — SMS and communications delivery; (d) Firebase — push notifications for mobile app users; (e) Hosting infrastructure — our servers are hosted within the UK/EEA; (f) Licensing authorities — operator and compliance records may be disclosed to Transport for London or relevant local councils as required by law. We do not sell your data.

  7. Data Retention

    Booking records are retained for 7 years to meet operator licensing and financial obligations. Quote request records are retained for 2 years; if a quote converts to a booking, the booking record retention period applies. Account data is retained while your account is active and for 3 years thereafter. Support and complaint records are retained for 3 years. Compliance documents relating to licensed operators, drivers, and vehicles are retained for the duration of the licence plus 5 years. Marketing consent records are retained until consent is withdrawn plus 1 year.

  8. Your Rights

    Under UK GDPR you have the right to: (a) access a copy of your personal data; (b) correct inaccurate data; (c) request deletion where data is no longer necessary and no legal retention obligation applies; (d) restrict processing in certain circumstances; (e) object to processing based on legitimate interests; (f) data portability for data you provided under contract or consent; (g) withdraw consent at any time without affecting lawfulness of prior processing.   9. Right to Complain
